RE: Recommendations Regarding Inactive / Unused E-mail Accounts


The Technology Policy Committee (TPC) met during the Fall and Winter quarters and most recently has examined the management of inactive and unused accounts. The TPC forwards the below background information and recommendation to the GSE Dean and Executive Committee for your review. If you have questions or suggestions, please contact Shane Jimerson prior to the next meeting of the GSE Executive Committee.

The information Technology Group (ITG) provides the following brief background information on the issue of inactive e-mail accounts. Currently and historically there are many inactive student accounts on our server (Kady or @education.ucsb.edu accounts). This happens for a variety of reasons:

  • Administrative overhead of contacting all of the users of these accounts regarding their status.
  • GGSE account is not the users primary account.
  • Unknown user

These inactive accounts are a security threat because they are a prime target of hackers. Inactive accounts also tie up server resources.

The TPC submits the following recommendation as a policy proposal;

GSE student e-mail accounts will expire (be removed) 6 months after graduation or after one Academic quarter of inactivity . All student accounts will be reviewed the third week of every quarter. Activity is defined as: logging in, downloading and or reading email. Students must formally notify the System Administrator via e-mail to deviate from the above timeframes regarding removal of inactive/unused accounts.

In order to facilitate the timely removal of accounts the System Administrator will be provided with the list of GSE graduates on a quarterly/yearly (whatever appropriate) basis.

The above information will be included in the user agreement form provided to all new students. This new policy will begin August 1, 1999
